Privacy Policy
This Privacy Policy explains how The Fix Collective Ltd, trading as MICRO by The Fix (“MICRO by The Fix”, “we”, “us”, “our”), collects, uses and protects your personal data when you visit microbythefix.com (the “Site”), join our founding waitlist, make or manage a booking, purchase a class, event, service or membership, attend one of our classes or events, or otherwise interact with us. We are committed to protecting your privacy and handling your personal data in accordance with the UK GDPR and the Data Protection Act 2018.
1. Who we are
The data controller is The Fix Collective Ltd, a company registered in England and Wales (company no. 16829203), registered office 128 Ebury Street, London SW1W 9QQ. For any privacy query, or to exercise your rights, contact us at hello@microbythefix.com.
2. The information we collect
We may collect the following personal data:
- Waitlist information. When you join the founding waitlist or request access: your name, email address, your free-text response to “What drew you to MICRO?” and a record of your consent;
- Identity, contact and account information. When you create an account, make or manage a booking or purchase a class, event, service or membership: your name, email address, telephone number, account details and any other information requested as part of the registration or booking process;
- Booking and attendance information. Details of the classes, appointments, events, services or memberships you book or purchase, together with your booking history, attendance, cancellations, no-shows and refunds;
- Transaction and payment information. Details of the products or services purchased, amounts paid, payment status, transaction references and limited payment information made available to us. Complete payment-card details are collected and processed securely by Mindbody and its payment-processing providers. We do not receive or store your complete payment-card details;
- Communications. Information contained in enquiries, requests, complaints, feedback and other communications you send to us;
- Technical and usage information. Technical and usage data such as your IP address, browser and device type, pages viewed and interactions with the Site, collected through cookies, analytics and similar technologies; and
- Marketing preferences. Information about whether you have agreed to receive marketing communications from us and any subsequent changes to your preferences.
Please do not provide health, medical or other sensitive personal information through the Site, waitlist, booking process or general free-text fields.
3. How we use your information and our lawful basis
We use your personal data:
- to create and administer your account, process and manage your bookings and purchases, take payment, provide the classes, events, services or memberships you have requested, and deal with cancellations and refunds. We rely on the performance of our contract with you or steps taken at your request before entering into a contract;
- to send you booking confirmations, reminders, receipts, operational information and changes relating to your booking or the services you have purchased. We rely on the performance of our contract with you and our legitimate interests in administering our services;
- to maintain appropriate booking, attendance, transaction, accounting and customer-service records, prevent fraud, handle complaints or disputes and protect our legal rights. We rely on our legal obligations and our legitimate interests in managing and protecting our business;
- to manage the founding waitlist and send you the MICRO by The Fix launch, founding access, membership and studio communications that you have requested. We rely on your consent, which you may withdraw at any time;
- to operate, maintain, secure and improve the Site and understand how it is used. We rely on our legitimate interests in operating a secure and effective website, subject to any consent required for cookies or similar technologies; and
- to comply with our legal and regulatory obligations.
4. Who we share it with
We do not sell your personal data. We may share it with trusted service providers and other recipients where necessary, including:
- our website developer and hosting provider, to operate the Site and manage website and waitlist submissions;
- our email and newsletter platform, Substack, where you have requested or consented to communications;
- Mindbody and its relevant group companies, which provide our booking, customer-management and payment functionality. Mindbody acts as our processor in relation to certain personal data processed on our instructions. Mindbody may also act as an independent controller in relation to information associated with your Mindbody account and its own platform services. - payment-processing and financial-service providers used through Mindbody, to securely process payments, refunds and related transactions;
- our analytics providers, to help us understand how the Site is used;
- our professional advisers, insurers, accountants and auditors; and
- courts, regulators, law-enforcement bodies and public authorities where required by law or reasonably necessary to protect our legal rights.
5. International transfers
Some of our service providers, including certain Mindbody group companies and sub-processors, may process personal data outside the United Kingdom.
Where personal data is transferred to a country that is not covered by applicable UK adequacy regulations, we ensure that an appropriate transfer mechanism is in place, such as the UK International Data Transfer Agreement, the UK Addendum to the European Commission’s standard contractual clauses or another lawful safeguard.

6. How long we keep it
We ordinarily retain waitlist information until 12 months after MICRO by The Fix opens, unless you withdraw your consent or ask us to delete it earlier. If MICRO by The Fix has not opened within 24 months after you register, we will either ask you to renew your consent or delete your waitlist information.
We retain customer-account, booking and attendance information for as long as reasonably necessary to administer your bookings and our relationship with you. We will generally retain this information for up to three years after your last booking or interaction with us, unless it is reasonably necessary to retain it for longer in connection with a complaint, incident, dispute or legal claim.
Transaction, payment, accounting and related records will generally be retained for six years where necessary for tax, accounting, dispute-resolution or legal purposes.
We do not retain complete payment-card details. Payment information processed independently by Mindbody and its payment-processing providers is retained in accordance with their applicable retention policies.
If you unsubscribe from marketing communications, we may retain a limited record of your email address on a suppression list to ensure that we respect your request.
7. Your rights
You are not legally required to provide your personal data. However, we may be unable to register you on the waitlist, process a booking or purchase, or provide the relevant class, event, service or membership unless you provide the information required for that purpose. We do not currently use your personal data to make automated decisions that produce legal or similarly significant effects.
Depending on the circumstances and the lawful basis on which we use your personal data, you may have the right to request access to, correction of or deletion of your personal data; to request that its use be restricted; to object to certain processing; and to receive certain personal data in a portable format.
Where we rely on your consent, you may withdraw that consent at any time without affecting the lawfulness of processing carried out before it was withdrawn. You have an absolute right to object to the use of your personal data for direct marketing.

8. Cookies and Similar Technologies
The Site and any booking functionality embedded within it may use cookies and similar technologies for essential functionality and, where applicable, analytics. Where consent is legally required, non-essential cookies and technologies will not be activated unless you choose to accept them. You can manage your preferences through the cookie banner and your browser settings.
We may also use analytics technologies to understand how visitors use the Site and to improve its content and performance. Where consent is legally required, those technologies will not be activated unless you choose to accept them, and you may withdraw your consent through the Site’s cookie settings.
Where we use analytics under the statistical purposes exception permitted by applicable law, the analytics will be limited to aggregate statistical information used solely to improve the Site, will not be used to identify or track individual visitors, and you will be provided with a simple means of objecting.

9. Security
We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or misuse. No transmission over the internet can be guaranteed as completely secure.
